These automated tracking tools, along with our powerful WebEdit for transaction (errors and exceptions) editing and Crystal Reports, makes it easier for your firm to maximize recoveries.

ERS
ERS is the cornerstone of the Copitrak system. This application software acts as a brain trust providing user and account validation and distribution, transaction collecting and costing, and reporting and exporting.


Eclipse Copier/Fax/Scan control terminals (Touch Screen with Finger Print recognition)
Our eClipse terminal uses true client/server architecture over TCP/IP to communicate back to the central Copitrak server from any point within an existing LAN or WAN network. eClipse, built from the ground up as a tablet style terminal on the Windows CE platform, offers unprecedented ease of use with its large LCD touch screen display, built-in numeric keyboard (external keyboard optional), intuitive Smartbar user functionality, and optional Biometric Reader for finger print recognition.

Eclipse Embedded Solution
This Copitrak ES software-only (no terminal required) embedded technology allows the eClipse Copitrak/Faxtrak system to seamlessly run on other platforms including the eCopy ShareScan, HP, Lexmark, and other embedded Multi-function devices.

Pro Series Copier/Fax/Scan control terminals
The Pro series is our feature packed, value priced, copier, scan and fax tracking terminal. Because the Pro Series terminals communicate via the standard TCP/IP network protocol, no additional cabling is required. The Pro Series terminals are designed from the ground up to be user friendly but also to maximize billable copies, faxes and scans.

Print Tracking
Lasertrak automatically tracks all printer, plotter and digital copier output without having to leave the programs you are working in. Lasertrak effectively monitors 100% of all printer activity, working either silently (in the background) or interactively with the user and the document environment. Lasertrak integrates with your office environment to ensure complete print management for client re-charge and internal management and analysis. It includes auto-population of client/matter numbers from most document management solutions such as Autonomy/Interwoven and Hummingbird/Opentext, New Color detection, Secure print features also available.

Scantrak
With Scantrak, businesses can track, manage and assign costs associated with scanned paper documents. Scantrak is available with the new eClipse or Pro terminal and works in a similar fashion as Copitrak in that you enter the information regarding the user and account number. Scantrak then sends the scanned document to a folder in a directory set up to receive scanned documents. Alternatively, Scantrak can be set up to forward the scanned documents to an email address. With the new Eclipse terminals – work flow scan features include OCR, Bates stamping, Scan to Document management systems and more.

 

Phonetrak
Phonetrak provides effortless tracking and costing of telephone usage. Phonetrak will also track the newest VOIP based systems including: Nortel, Cisco, 3Com, Avaya and many others. This system can also import usage data from other telecommunication devices, including fax machines, for costing of toll charges.

WebEdit
WebEdit provides secure world-wide access to the ERS database for on-line transaction editing via browser (Internet Explorer). WebEdit provides editing capability to correct missing or invalid account billing codes.

The WebEdit Phonetrak module automatically builds a matching file of account codes and corresponding telephone numbers for easy reconciliation of telephone charges.

WebEdit includes a Windows based Manager Module that enables one or more authorized users to view and edit data from any user in the system. In addition, the manager module enables authorized users to create disbursement transactions of any type that may have been sent off-site (to a printer for instance) and thus not tracked by in-house terminals.

The General Import module (GFI)
allows other sundry charges such as Rightfax, Bconline, FedEx, credit card calls and online services such as Quicklaw to be imported for network user access and direct chargeback.

Crystal Reports
Built on the powerful Crystal Reports Engine, the ERS .NET reporting engine can produce both text-based and graphical reports available via a web reporting interface. Reports can be automated and generated to Adobe Acrobat PDF format and printed or e-mailed to a recipient. Project based reports can be tied directly to Monthly Services provided by Facilities Management for easy distribution with bills issued to clients.

Accounting Connector - Multibill
The ERS system, through SQL or ODBC provides powerful yet easy to manage links with the firms existing accounting and network systems to allow for the fully automated import and update of clients and user information. The ERS management system can also automatically import user authentication information by linking with the firm's existing network Active Directory Structure.

Workflow Capabilities
LaserTrak "Secure Print Plus" permits users to queue a document on the network and then use any Copitrak eClipse to locate and release the document at the desired multifunction print device. The user can print a preview copy and then print multiple copies. Users can request printing to any "like" M.F.P. within the network.

Scantrak automatically routes jobs and tracks, manages and assigns costs associated with scanned paper documents. The Copitrak terminals automatically route jobs to the users' inbox, desktop or personal folders and has the ability to send jobs to other users via LDAP look-up of firms inside/outside e-mail addresses.

DocuSync enables digital multifunctional copier/printers (controlled by Copitrak terminals) to synchronize network printing with walk-up copying. By associating each device with its network print queue, DocuSync ensures that no print jobs are sent to the digital copier/printer when the device is in use by a walk-up key operator.

Through SQL or ODBC link or file transfer, the ERS system can automatically transfer billing information to all accounting systems including Elite, ProLaw, Aderant, e-Quinox, Acumin, PcLaw, ESILaw and others. Advance data profiling is available and real-time pre billing and pre batch notification of data transfers can be sent to accounting personnel.
